GUIDELINES FOR THE LASU AUTOMATED MARK SHEET

 

LASU AUTOMATED MARK SHEET (LASU-AMS) USER’S GUIDELINES


PREAMBLE


STEPS:

  1. Copy the master file “Automated Mark Sheet AMS.mdb” from the CD to My Documents, Desktop, Local Disk C or any other desired location
  2. Keep an extra copy of the master file in ANOTHER desired location as mentioned above
  3. Open My Documents
  4. Create a new folder inside My Documents named “Mathematics Department Rain 05 06 Results”
  5. Copy the master file “Automated Mark Sheet AMS.mdb” from the location in step 1 or 2 and paste it in the created folder “Mathematics Department Rain 05 06 Results”
  6. Rename the master file “Automated Mark Sheet AMS.mdb” in the folder “Mathematics Department Rain 05 06 Results” to the course code to be processed e.g. “MAT 331 Rain 05 06 Result”
  7. Open the file (Right-click and click open or Double-click the file)
  8. If you encounter “Security Warning Dialog Box” with the options CANCEL, OPEN or MORE INFORMATION, click OPEN

  1. STAGE 1 – CLICK TO OPEN 1ST STAGE Course Code
    1. Course Title
    2. No of Units
    3. Campus Code
    4. Faculty Code
    5. Dept Code
    6. Semester Code
    7. Session
    8. Dean of Faculty
    9. Head of Department
    10. Course Coordinator/1st Lecturer
    11. 2nd Lecturer
    12. 3rd Lecturer
    13. 4th Lecturer
    14. CLICK TO SAVE ALL INFORMATION
    15.   CLICK TO INPUT STUDENTS’ SCORES
  1. STAGE 2 – INPUT STUDENTS’ SCORES
    1. Punch the MATRICULATION NUMBER, CA and EXAM Scores
    2. CLICK TO GO BACK TO INFORMATION FORM if there is need to modify the information provided in stage 1
    3. CLICK TO SAVE AND ANSWER YES TO THE NEXT TWO QUESTIONS THAT FOLLOW
    4. PREVIEW YOUR MARK SHEET
    5. PRINT YOUR MARK SHEET
    6. EXIT
  1. STAGE 3 –             a.         PREVIEW MARK SHEET REPORT WITH S_N

b.         PREVIEW MARK SHEET REPORT WITHOUT S_N

  1. STAGE 4 –             a.         PRINT MARK SHEET REPORT WITH S_N

b.         PRINT MARK SHEET REPORT WITHOUT S_N

  1. STAGE 5 – EXIT

N.B
One file should be used for only one course.
Repeat the process above for every Course
There should be only one Dean in a Faculty, one HOD in a Dept, and one Course Coordinator for a course e.t.c.
If any required information is not provided the preview page will be blank
If you encounter any problem EXIT and re-open
For the S_N in the PREVIEW and PRINT OUT to be correct, the UPDATED VERSION requires that the Matriculation Numbers be arranged before punching. However, S_N is OPTIONAL.

STEPS TO IMPORT DATA FROM MICROSOFT EXCEL (OPTIONAL)
STAGE 1 – Open Microsoft Excel

    1. Prepare the Excel file in the following format (Only S_N, Matriculation Number, CA and EXAM are required)
    2. Save the file to a known destination and EXIT
    3. In other for MS Excel to accept the Matric No without “/”, “-“ or “ “, start with single quote (apostrophe)

STAGE 2 – Open the LASU AMS master file already renamed to your course code

    1. Click File, Get External Data, Import
    2. Change Files of type to Microsoft Excel
    3. Browse to the location of the excel file and select it
    4. Select SHOW WORKSHEETS, select the worksheet containing your data and click NEXT
    5. Select FIRST ROW CONTAINS COLUMN HEADINGS and Click NEXT
    6. Select IN AN EXISTING TABLE, select MARK SHEET from the drop down list
    7. IMPORT TO TABLE:   MARK SHEET and click FINISH
    8. FINISHED IMPORTING ….TO TABLE MARK SHEET, click OK
